Required work clothing becomes a retention issue when an employee cannot get a usable replacement. Repeatedly borrowing the wrong size or being sent home for an item the employer controls creates frustration and lost work. Managers need a route that solves the immediate problem and exposes supply gaps.

Record the actual need

Note the item, size, condition, work location, and date requested. Separate normal replacement from damage that may indicate a safety or equipment problem. Avoid asking employees to explain body changes or other personal details. The request only needs enough information to supply suitable clothing.

Provide a safe interim option

Identify approved loaner stock, alternate duties, or another temporary arrangement. Never substitute an item that interferes with required protective equipment or safe movement. Tell the employee who owns the request and when the next update will arrive, even if the delivery date remains uncertain.

Audit fulfillment, not just inventory

Track the time from request to usable replacement by item and location. Review rejected sizes, repeat damage, and stock that exists on paper but cannot be found. Give purchasing teams evidence about the sizes and items employees actually need.

Qualified safety, HR, payroll, or legal staff should review employer requirements and any deductions or protective-equipment rules. Public background: OSHA personal protective equipment guidance.
